1. What is a Collection

A collection is an organization of documents with different categories. User can create as many categories as needed for storing different kinds of documents.

A short description can be provided to describe the document categories. Total number of documents stored in a collection is visible in line with collection name.

2. Inside a Collection

List of all uploaded documents is displayed inside a collection. Navigation is provided to traverse through the document list. image

3. Collection Configuration Features

Various configurations features are provided to customize collection view.

3.1 Manage User collection image

Users for collection can be added with this feature and various permissions can be provided to user.

3.2 Manage Cataloging Fields Of a collection image

Cataloging fields needed for document categorization can be defined using this feature.

image Field types

The different field types options available are Text, Numeric, select from options, Date and Select with custom input.

While Numeric, Date, Text are self explanatory fields types as the name suggests. “Select from options” field type can be used when multiple options needed to be defined for the cataloging fields e.g. Gender field type with options as Male, Female.

The newly defined cataloging fields appear in “settings” feature in Display columns and Search Fields.

3.3 Settings image

This feature is used to configure the display column, search fields, notifications and IMAP settings.

3.3.1 Display column

Tick the checkboxes to select the display columns. The default display columns are Type, Title, Size and Creation Time. In addition to above list , the cataloging fields are added.

3.3.2 Search Fields

Tick the checkboxes to select Search Fields.

The selected Search Fields appear as filter as shown in below screenshot.

3.3.3 Notifications

Using this feature slack webhook URL can be configured for a notification when there is update in collections.

3.3.4 IMAP Settings

An email can be configured for importing the documents in collection. All document sent to this email as attachment will be imported in the collection.

3.3.5 New Child Collections image

Collection within a collection can be created using this feature.

New documents from your computer can be uploaded using this feature.

3.3.7 Set Filters image

Different filters can be configured using this feature.

Select the filter from drop down. (New filters can be added in drop down menu by using “manage cataloging fields feature”.)

Type the filtering value to be set eg. Asdfsdf. Click on “ADD” and then “Done” button

3.3.8 Export collections to csv image

Use this feature to export collections to csv file. The downloaded file can be found in download folder on user’s computer.
